Account settings

To send or receive messages with POP or IMAP client software you must use authentication -- that is, telling the server your email address and password so it knows you are allowed.
  Incoming (POP/IMAP):
               server:   npomail.electricembers.net
             username:   username@your-domain.org (ie. your full email address)
             password:   ********
 secure password auth:   OFF

      Outgoing (SMTP):
               server:   npomail.electricembers.net
  username & password:   (same as incoming connection)
          server port:   587 
We highly recommend that you also enable security on all your email connections, as described in the next section.


Secure connections (TLS/SSL)

Secure connections for POP, IMAP, and SMTP are optional, not used in email software by default, but highly recommended for all users and necessary for certain situations described in the FAQ.

To secure your connections, go to the account settings configuration in your email client and find the Secure Connections section, under the server settings or advanced settings. (Do not enable "Secure Password Authentication".)

  1. Recommended Method:
    We highly recommend simply selecting TLS as the security option for each protocol (POP, IMAP, and SMTP), as it will not require any other changes.
  2. Alternate Method:
    If your email client cannot use TLS (e.g., MS Outlook), you can instead choose SSL and make the following changes to port numbers. In some email clients, selecting SSL will automatically also change the port number to the correct value:
    • POP with SSL: Change the server port from the default 110 to 995.
    • IMAP with SSL: Change the server port from the default 143 to 993.
    • SMTP with SSL: Change the server port from 587 (or 25) to 465.


Webmail

You can access your email via the Web by browsing to http://mail.your-domain.org and logging in with your email address. This connection is always encrypted with SSL for your protection.

Note that if you are also using an email program which uses POP, and have not changed its default behavior, all messages in the Inbox are downloaded and deleted from the server each time you connect. This makes POP + Webmail not very compatible. If you want to keep your mail on the server for access from multiple locations, you can either use the IMAP protocol, or change the POP setting to leave messages on the server. IMAP works just like Webmail in that messages are stored on the server and accessible from anywhere.

Vacation autoresponder

Log in to Webmail and click Settings --> Filters. Then click the green + icon at the left to add a new rule. Name your rule and continue down the form, chosing to act on all messages executing the action: Reply with message. Type your autoresponse in the message body box.

If emails sent To: other addresses (aliases) get delivered here, and you want this vacation responder to work on those messages too, enter the additional addresses in the Additional list of recipient emails box.
Click Save

Forwarding mail elsewhere

If forwarding mail permanently, your postmaster should set up an alias only, rather than a real mailbox. You can temporarily redirect mail by setting up a filter. Click Settings --> Filters and then click the green + icon at the left to add a filter . Name your rule and continue down the form, chosing to act on all messages executing the action: Redirect message to and then enter the email address.

Setting up other server-side filters

These filters happen on the server side, so no matter what method you use to check your email, the filtering will have already happened upon reception. Filters can be created to do things like automatically sort certain mailings into appropriate folders, based on Subject, Sender, or Recipient. Click Settings --> Filters and then click the green + icon at the left to add a filter. Name it and continue down the form, building your filter to work however you chose.

Changing passwords

You can change your email password by logging in to Webmail and clicking Settings --> Password (or Options --> Change Password in the old webmail). Enter your current password and your new password (twice), and click Save. Of course, you must also update your password in your email program if you use one. If you do not know your password, have your postmaster reset it for you.


Automatic filtering of spam/viruses

Our NPOShield system identifies spam and virus messages by inserting [SPAM] or [VIRUS] into the subject line. These messages are then automatically filtered into folders named Spam and Virus on the NPOMail server, where you can view them via Webmail or an IMAP client (not POP). Messages in these folders, and in the trash, will be automatically purged after 14 days.


Built-in group address

You can write to all of your organization's email accounts at once by sending a message to all@your-domain.org. This special address is not valid for mail coming in from the Internet, in order to prevent abuse and spam, but you can use it from anywhere by logging into your NPOMail account via Webmail and sending from there.
